The Role:
We are seeking an Administration Assistant for our Canley Heights (part-time) location. Responsibilities include:
- Facilitating all NDIS admin work, including booking and billing.
- Answer enquiry emails from support coordinator/case manager/participant.
- Follow up appointment for suitable date and time with participant, create booking and send email to confirm to support coordinator/case manager/participant. Confirm with site Admin/Provider if there are any issues regarding booking. Reschedule appointment if there are any issues from provider or participant requested.
- Follow up the budget with support coordinator/case manager for new referrals.
- Calculate budget and allocate the amounts by the different services and ensure the correct support item and support category matches the NDIS Price Guide.
- Write budget proposals and email to the support coordinator for approval.
- Prepare service agreements for participants.
- Create the service bookings on the NDIS portal if participant is NDIA (Agency –Managed).
- Check for any NDIS/Disability and Aged Care potential referral, received from our provider. Send this out to assist with the application. Call to follow up the referral.
- Audit and maintain the spreadsheet for any inactive cases. Liaise with provider/participant to re-book or find out any issues about the case.
- Follow up the Comprehensive Report with the provider for plan review – call the support coordinator and participant to re-engage the service after plan review. Work out a revised budget for the new NDIS plan.
- Check with NDIS team for any new contracts. Work out the service rates and create the billing codes on Nookal.
- Generate invoice and update invoice for any incorrect billing code.

- Bilingual (Vietnamese) ideal, English is a must.

- Ability to empathise with patients.
Skills and Experience:
- Proficient Computer literacy – able to easily learn and use MS Office and online systems.
- Previous skills in using medical and allied health software.
- Previous experience in allied health or demonstrated understanding of NDIS administration an advantage.
- Cultural awareness and foreign language capabilities an advantage.
- Essential to have driver’s licence and own vehicle.
